POS Full Form
Point of Sale
What does POS stand for? A business term, explained.
POS Full Form in English, letter by letter
POS (Point of Sale) is the place and system where a retail sale is completed, with payment taken, a bill issued and stock updated.
POS Full Form in Indian Languages
Shopkeepers, customers and accountants meet POS every day. It stands for Point of Sale, shown below in six Indian languages.
Where a Sale Is Completed
POS stands for Point of Sale: the place and moment a customer pays for goods or services. In a kirana shop it is the billing counter, in a restaurant it is the card machine brought to your table, and online it is the checkout page where the money changes hands.
The term covers both the location and the equipment. When a merchant speaks of a POS system, they mean the terminal plus the software that records the sale, prints the invoice, updates stock and closes the day's accounts before the shutter comes down.
What Sits Inside a POS Setup
At the counter you will normally see a card machine, a barcode scanner, a receipt printer, a cash drawer and a tablet or computer running billing software. In a chain store all of these report to one inventory database, so a sale in one branch reduces the stock shown at the head office.
Under GST the same software also carries HSN codes and tax slabs, and, for larger businesses, e-invoicing, which is why the till is where compliance begins. A small shop with a mobile POS app can bill a customer standing in the aisle instead of making them queue.
How Customers Pay at a POS in India
Cards, UPI and the machine on the counter
RuPay, Visa and Mastercard cards all work at terminals, but UPI leads in the number of transactions: the customer scans a QR code or approves a request on the phone. Banks and business correspondents also use micro-ATM devices, where an Aadhaar-linked account holder withdraws cash with a fingerprint, which brings basic banking to places without a branch.
What the merchant pays per transaction
The Merchant Discount Rate (MDR) is the fee the shopkeeper pays the acquiring bank or payment company on a card sale. Since 1 January 2020 no MDR is charged on UPI and RuPay debit card payments, so most small merchants accept those digital payments without a fee. Credit card and Visa or Mastercard debit payments still carry an MDR, set by the acquirer and the type of card.
Where POS Software Earns Its Keep
Restaurants rely most on their POS: table numbers, split bills, kitchen order display, staff-wise sales and service charge all sit inside it. Retail chains care about different features: barcode labels, exchange and warranty tracking, and stock movement across branches without manual reconciliation.
For online sellers the same words describe the checkout screen and the payment gateway behind it. Whichever channel is used, the POS record becomes the source for daily settlement, GST returns and any mismatch the bank may raise.
Choosing a POS Machine for a Small Business
HDFC Bank, ICICI Bank and State Bank of India provide card machines to merchants, and payment companies such as Pine Labs, Mswipe, Paytm and PhonePe offer Android terminals with billing apps. Compare the device cost or rent, the per-transaction charge and the settlement time, same day versus the next working day, before signing.
Check that the machine accepts contactless tap and QR payments and that its software can export bills to your accounting program such as Tally. A machine that only swipes cards is rarely enough in a shop where UPI already dominates the counter. Also read the contract for monthly rent and exit charges.
Whatever machine you choose, keep the paperwork. The merchant agreement lists the rent, the MDR slabs, the settlement cycle and the charges for a chargeback, which is when a customer disputes a card payment. Settlement reports should be matched with the daily sales register, and a mismatch is the first thing to raise with the bank. For a business with several outlets, software that merges all counters into one report saves hours at the end of the month.
POS means Point of Sale, the counter or screen where a purchase is paid for and recorded. Before choosing a machine, compare rent, transaction charges and settlement time.
POS Full Form: Common Questions
What is the full form of POS?
The full form of POS is Point of Sale. It means the place where a retail transaction is completed and, by extension, the system that takes payment, prints the bill and updates stock.
What is the difference between a POS machine and an ATM?
An ATM lets a cardholder withdraw cash. A POS machine lets a merchant collect payment from a card, UPI or wallet and receive it in the shop's account, so the shopkeeper rents or buys it.
Do merchants pay charges for accepting UPI at a POS?
Not at present. Since 1 January 2020 UPI and RuPay debit card payments carry zero MDR. Other card payments still attract an MDR negotiated with the acquiring bank or aggregator.
Is a POS system compulsory for a GST-registered shop?
No law requires a particular POS machine, but a GST-registered business must issue tax invoices and keep records. Billing software makes that easier, and businesses above the notified turnover limit must generate e-invoices for business-to-business sales.
Can a mobile phone be used as a POS?
Yes. Merchant apps from payment companies and banks turn a smartphone into a QR and billing device, and small Bluetooth card readers add card acceptance.
Is a POS the same as billing software?
Not exactly. Billing software is the program that makes the invoice. A POS system is the whole set-up: software plus the hardware at the counter, such as the scanner, printer and card or QR terminal.
