PPT is short for PowerPoint Presentation. You build slides with text, pictures and charts in Microsoft PowerPoint and show them on a screen or projector while you speak. The letters also come from the file extension .ppt that older versions used when saving.

You may have seen Power Point Talk as an expansion. That one is invented. There is no talk in the name.

Where PowerPoint came from

PowerPoint was created by Robert Gaskins, Tom Rudkin and Dennis Austin at a company called Forethought, Inc. It was released on 20 April 1987, at first only for Macintosh computers. Microsoft bought it about three months later for roughly 14 million dollars, which was its first significant acquisition.

It joined the Microsoft Office suite in 1989 for Macintosh and 1990 for Windows. Since then it has become the default way offices, colleges and schools in India put together a presentation.

PPT or PPTX, and which one to send

PPT is the older file format. From Office 2007 onwards, PowerPoint saves as PPTX by default, which tends to give smaller files. Newer PowerPoint opens both, but very old software may not open a PPTX.

If you are emailing slides to a college office or a client, PPTX is fine in most cases. If you are not sure about the machine at the venue, send a PDF as well.

Slides that do not put the room to sleep

A good PPT supports you, it does not replace you. Keep one idea on each slide, use large fonts and avoid pasting whole paragraphs from a textbook. If the audience is reading, they are not listening.

For a college seminar, a short deck of eight to ten slides with a clear opening slide and a summary slide is usually plenty. Practise once with a timer, because that is where most people find out they have too many slides.

Tools that save time before the big day

Use a slide master or a built-in template so fonts and colours stay the same on every slide. Pick one or two colours and keep the contrast strong, because a projector in a bright classroom washes out light shades.

Press F5 to start the show from the first slide, and Shift with F5 to start from the slide you are on. Both save you from fumbling in front of an examiner. Keep a copy on a pen drive and one in your email, since college Wi-Fi is not always kind.

Other things PPT stands for

In chemistry, ppt can mean parts per trillion, and in lab work it can also be short for precipitate. In army and police recruitment, PPT is the Physical Proficiency Test.

Context decides. If the page talks about slides, files or college, it is the presentation.

Before an important presentation, save a PDF copy as well. It opens the same way on any laptop, and fonts and layouts will not shift on a projector you have never used.
