What a Goods Received Note Records

GRN stands for Goods Received Note, the document raised when a delivery is physically taken into a store or warehouse. It captures what arrived against what was ordered: item description, quantity actually received, batch or lot number, delivery challan reference, date and time of receipt and the visible condition of the consignment.

The note matters because it marks the point where a purchase stops being a commitment and becomes inventory plus a liability. It gives the stores team proof of receipt, the quality team a trigger for inspection and the finance team a defensible basis for paying the supplier.

Where GRN Sits in the Purchase Cycle

Procurement runs in order: purchase order, goods receipt, quality check, supplier invoice, payment. The GRN is the second step. The truck is unloaded, the storekeeper counts against the purchase order and a numbered GRN is generated. In Tally the equivalent voucher is the Receipt Note. In SAP a goods receipt is posted against the purchase order, normally with movement type 101.

Payment then rests on a three-way match. The purchase order, the GRN and the supplier invoice must agree on item, quantity and price before the invoice is cleared. Any mismatch holds the payment until someone explains it, which is why a careless GRN becomes an accounts problem by month end.

The note is usually prepared at the gate. The security gate register logs the vehicle and challan, and the storekeeper then counts and signs. Counting sealed cartons without opening them is the classic shortcut that causes disputes later, so most stores insist on a sample open count for bulky consignments.

Handling Short, Excess and Damaged Supply

If 99 boxes land against an order for 100, the GRN is raised for 99 and the purchase order stays open for the balance. A supplier invoice for 100 then fails the three-way match. Excess goods are rejected at the gate or accepted only with written approval, because the store cannot pay for stock it never took in.

Damaged or out-of-specification items go to a quarantine area and the GRN notes the rejection, which lets the purchase team ask the supplier for a replacement or a credit note. For quality-critical buys the GRN stays provisional until the inspection report clears the lot, and nothing is issued to production before that sign-off.

Photographs of damage, the transporter's lorry receipt and the time of unloading are worth attaching. They support any claim on the supplier or the transporter, and the insurer asks for them if the loss was in transit.

A Worked Example of a GRN

A factory orders 500 steel bolts, 200 bearings and 50 kg of grease on purchase order number 2041. The supplier's truck arrives with 500 bolts, 190 bearings and 50 kg of grease, with an invoice for the full order. The storekeeper counts and records 190 bearings received, notes that 10 are pending, and the GRN carries those quantities. The accounts team pays only for what the GRN supports, and the purchase team follows up for the missing 10 bearings or a credit note.

The same logic applies in a small shop. A grocer who ticks off cartons against a delivery slip and signs for what actually came is doing a GRN by hand.

GRN in Tally, ERP Systems and Audits

Every GRN carries a unique number in an unbroken sequence, and auditors check the sequence because a gap can hide unrecorded receipts. The note updates the stock ledger when goods are received, and later corrections go through a debit or credit note. The original entry is never overwritten.

ERP systems raise the GRN when a goods receipt is posted against a purchase order, leaving the storekeeper to scan the delivery, enter the accepted quantity and flag exceptions. Under GST, the invoice date and the date of receipt of goods also matter for claiming input tax credit, so a clean GRN date helps the GST records match.

A GRN is a small document with heavy responsibility: it proves what arrived, updates stock and allows payment. Count carefully at the gate, note shortages on the paper and the rest of the purchase cycle runs smoothly.

GRN Full Form: Common Questions

What is the full form of GRN?

The full form of GRN is Goods Received Note, the document created when goods are physically received against a purchase order. It records quantity, condition, batch details and the delivery reference, and becomes the basis for stock records and payment.

What information does a GRN contain?

Typically the GRN number and date, purchase order reference, supplier name, item description, quantity ordered versus received, batch or lot number, delivery challan number, condition remarks and the receiver's signature. Some systems add the quality inspection status.

What is the difference between a GRN and an invoice?

A GRN is the buyer's own evidence that goods arrived, raised by the stores team. An invoice is the supplier's demand for payment. Accounts pays only when both, along with the purchase order, agree, which is why an invoice without a matching GRN is held.

Is a GRN required for every purchase?

No. Purchases of physical goods through a store or warehouse need one, since inventory is being received. Service purchases such as a consultancy bill or an electricity charge have no physical goods, so no GRN is raised, only the invoice and its approval.

What is a three-way match?

It is the check that the purchase order, the GRN and the supplier invoice agree on item, quantity and price before payment is released. It prevents overbilling and duplicate payment, and a shortage shown on the GRN blocks the extra quantity from being paid.

Who prepares and signs a GRN?

Usually the storekeeper or warehouse in-charge prepares it after counting the goods, and a quality inspector and the purchase or accounts team may countersign depending on company policy.
