Business Process Management, defined plainly

BPM is a management discipline for identifying, mapping, automating, measuring and improving the workflows a business runs on. The unit of attention is the whole process end to end, not one department's slice of it, which is why BPM projects usually start by drawing the current flow before anyone writes code.

It grew out of the business process reengineering wave of the early 1990s, popularised by Michael Hammer and James Champy's book Reengineering the Corporation, 1993. Reengineering aimed at dramatic redesign; BPM treats improvement as continuous and incremental, which is why the term largely replaced BPR in practice.

The BPM life cycle

Practitioners describe five repeating stages: design the current process and its rules, model it against sample scenarios, execute it often through workflow software, monitor it with live metrics, and optimise it before starting the loop again. Governance matters more than any single tool, because a mapped process nobody maintains decays within months.

A simple example: a bank's account-opening flow from application to activation. Model it, measure the average elapsed time and the rejection rate, find that most rejections come from incomplete KYC documents, and the fix is a checklist at entry rather than a new system.

Metrics that make a BPM case

The numbers used to judge a process are concrete: cycle time from start to finish, cost per transaction, error or rework rate, throughput per week, and the share of cases meeting the promised turnaround. Without a baseline, no improvement claim holds up.

Indian insurers work to turnaround times laid down by their regulator, and banks publish service timelines, so BPM work often decides whether those promises are kept. Choose a handful of KPIs from the list above, record them before any change and measure them again afterwards, or the project will have nothing to show for itself.

Where BPM shows up in Indian workplaces

Loan origination, KYC and onboarding, claims adjudication, GST reconciliation, payroll and HR onboarding are the usual starting points. Government service delivery uses the same idea when a department shortens the time to issue a certificate through a single-window flow.

India also runs an export industry around process work. NASSCOM reports IT and business process management together, and third-party providers and captive centres (the older name for this work was BPO) handle finance operations, claims and customer support for overseas clients from Indian cities.

An insurer's claim flow is the classic case: intake, verification, survey, adjudication, payment. Measure the elapsed days at each handoff and the delay usually turns out to be queueing between steps rather than work inside them.

A worked example: shortening account opening

The numbers below are an illustration, not data from any real bank. Suppose a branch takes six working days on average to activate a savings account, and a sample of 200 applications shows that 40 percent were returned at least once. Sorting the returns by reason shows that most were for a missing or mismatched address proof.

The cheapest fix is at the counter: a printed checklist and a quick check of the document against the form before it is accepted. Nothing was automated and no software was bought. If returns fall from 40 percent to 15 percent and the average drops to four days, the project has a measurable result, and the team can then look at the next largest delay.

This is the usual pattern in BPM work. The expensive tool is rarely the first answer; a clear map of where cases wait, and why, usually points to a smaller change.

Notation, roles and certifications around BPM

Most process maps are drawn in BPMN, Business Process Model and Notation, a standard published by the Object Management Group. BPMN 2.0 arrived in 2011 and supplies the same circles, diamonds and arrows for events, gateways and tasks, so a flow drawn in one city still reads in another.

Around the maps sits a small cast: a process owner accountable for the whole flow, business analysts who model it, and improvement leads who track the numbers. Lean Six Sigma belts, Green Belt and Black Belt, are still listed as preferred qualifications for BPM and operations roles across Indian BFSI and IT firms.

BPM, RPA and beats per minute

Robotic process automation (RPA) automates repetitive clicks and data entry inside one step, while BPM manages the entire process including handoffs, rules and exceptions. RPA works best inside a process that BPM has already simplified, otherwise you automate the waste.

Outside work, BPM usually means beats per minute, the unit used for heart rate on fitness watches and for tempo in music software. A file property reading 120 BPM is a track, not a process. In a business document the same letters mean process management.

Measure a workflow before touching it, fix the bottleneck that the numbers point to, and measure again. A BPM effort without that last step ends up as a diagram nobody updates.
